General Questions

How do I reset my password?

Click on the "Forgot Password" link on the Sign-In page. You will receive an email with instructions to reset your access.

What if I forget which email address I used?

Please contact your school administrator. They can check the school directory and tell you exactly which email address is connected to your account.

What if I completely lose access to my email account?

Your school records are safe. Contact your school administrator. For students, the admin can disconnect your old email, allowing you to create a new account and link it back using your Roll Number and Date of Birth. For staff, the admin can simply update your profile with a new email.

Can I use this on my phone?

Yes. The system works on mobile phones, tablets, and computers. You can save it to your home screen for easy access.

Step 1: Onboarding & First Login

When you create an account for the first time, you will set up your school's workspace.

  • Create Your Workspace: Enter the official name of your school to create your database.
  • Admin Access: The account you use to sign up is granted Administrator privileges.
  • Dashboard Access: Once submitted, you will be taken to your main dashboard to begin setup.

Step 2: School Settings & Configuration

Configure your school's official details in the Settings menu.

  • Basic Information: Update your school's contact number, address, and email.
  • Official Documents: Upload your school logo and the principal's signature for use on printed documents.
  • Academic Calendar: Define your weekly off days and add dates for public holidays.
  • Fee Collection Methods: Choose how parents will pay fees. Enter Bank Account details or Mobile Wallet details to be printed on vouchers.

Step 3: Managing Your Subscription

Keep your school's account active by managing your subscription plan.

  • Account Status: View your current plan and check your next billing date.
  • Choosing a Plan: Browse available plans to see the features and limits included in each.
  • Making a Payment: Follow the on-screen instructions to transfer funds, then upload a photo of your payment receipt.
  • Payment History: View a list of your past payments and check if your recent uploads have been approved.

Step 4: Class Registry & Management

Build your school's academic structure.

  • Create Classes: Add grades and sections (e.g., Grade 10, Section A).
  • Class Incharges: Assign a specific teacher to lead each class.
  • Delete Classes: If you delete a class, the students inside are kept safe and moved to a holding area so no data is lost.

Step 5: Curriculum & Subject Mapping

Define what subjects are taught in your school.

  • Master List: Create subjects in the global curriculum list.
  • Assign Subjects: Link subjects to specific classes so teachers can enter grades for them.
  • Remove Subjects: You can remove a subject from a specific class if it is no longer taught there.

Step 6: Staff Profiles & Performance

Manage your employees and their teaching assignments.

  • Staff Profiles: Add new staff members and view their details.
  • Subject Allocation: Assign specific subjects to teachers.
  • Performance: View a teacher's attendance record, class average scores, and student ratings.
  • Payroll Records: Check the history of a staff member's monthly salary slips.

Step 7: System Access Control

Control what your staff can see and do in the system.

  • System Roles: Assign access levels such as Admin, Principal, Accountant, or Teacher.
  • Designations: Give staff members custom job titles (e.g., "Head of Science") for their profiles.

Step 8: Student Admissions & Directory

Enroll students and manage their records.

  • Admissions: Use the admission form to enter personal details, guardian information, and assign the student to a class.
  • Student Directory: View a complete list of all enrolled students.
  • Manage Profiles: Edit student details, view their financial ledgers, or print their ID cards.

Step 9: Daily Attendance

Keep track of who is present each day.

  • Mark Attendance: Mark students and staff as Present, Absent, Late, or on Leave.
  • Submit Records: Save the daily attendance to lock the records for that day.
  • Monthly Reports: Generate an attendance matrix to view a full month's record for any class.

Step 10: School Announcements

Send digital notices to the school community.

  • Create Notices: Write messages and broadcast them to the portal dashboards.
  • Target Audience: Choose to send messages to everyone, only teachers, or only students and parents.
  • Priority Levels: Mark important announcements as high priority.

Step 11: Date Sheet Manager

Schedule upcoming examinations.

  • Create Schedules: Assign subjects to specific dates and times for exams.
  • Generate Dates: Use the generator tool to quickly build a schedule by selecting a start date and end date.
  • Print: Print the finalized date sheets to distribute to classes.

Step 12: Roll Number Slips

Prepare students for their exams.

  • Generate Slips: Select an exam type and class to generate entry slips for students.
  • Add Instructions: Write custom rules and notes for the examination hall.
  • Print Layouts: Choose to print the instructions on the front of the slip or on a separate back page.

Step 13: AI Analytics & Chat Assistant

Review your school's data and ask questions.

  • Monthly Reports: Generate a report to review your school's financial health, attendance trends, and academic performance for a specific month.
  • Chat Assistant: Ask the assistant questions about your school data (e.g., "Who is absent today?" or "What is the timetable for Grade 5?").
  • Print Reports: Print the generated reports for your physical records.

Step 14: Certificate Generator

Create professional awards and official documents.

  • Select Templates: Choose from pre-written templates like "School Leaving Certificate" or "Academic Excellence".
  • Customize Design: Change the fonts, borders, and colors of the certificate.
  • Add Seals: Add a customizable seal or badge to make the document official, then print it.

Step 15: QR Attendance Scanner

Use a camera to mark attendance quickly.

  • Live Scanning: Hold a student or staff ID card up to the camera to mark them present.
  • Camera Controls: Switch between front and back cameras if your device has multiple lenses.
  • Offline Scanning: If the internet disconnects, you can continue scanning. The system will update the records once the connection is restored.

Step 16: Exam Results & Class Ledger

Enter grades and manage student academic progress.

  • Enter Marks: Input exam scores by subject, by individual student, or view the entire class at once.
  • Exam Parts: Break a subject down into multiple parts (like a written test and a practical) and assign weights to each.
  • Report Cards: Print individual report cards or generate them for the whole class.
  • Class Promotion: At the end of the year, use the promotion tool to move students to the next grade.

Step 17: Fee Configuration & Policies

Define what students are charged.

  • Fee Structures: Create monthly fee plans for different grades or sections.
  • Line Items: Add specific charges like Tuition Fee, Transport Fee, or Lab Fee.
  • Billing Rules: Set the monthly due date and define the late fine amount.

Step 18: Student Ledger & Adjustments

Manage individual student accounts and payments.

  • View Balances: Check the total fee balance and payment status for any student.
  • Adjustments: Add custom charges, apply discounts, or remove specific fee components for a student.
  • Clear Payments: Record when a student pays their fee to update their status to cleared.

Step 19: Fee Analytics & Dashboard

Review your school's fee collection progress.

  • Revenue Tracking: View your target revenue, total collected amount, and total pending amount.
  • Visual Charts: Look at charts showing your overall recovery percentage and class distribution.

Step 20: Defaulter Recovery & Reminders

Follow up on unpaid fees.

  • Recovery List: View a list of all students who have not paid their fees.
  • WhatsApp Reminders: Send a fee reminder message directly to a parent's WhatsApp.
  • Printed Reminders: Print physical reminder slips to hand to students in class.

Step 21: Printing Fee Vouchers

Generate bills for your students.

  • Print Vouchers: Print a fee voucher for a single student or print them for an entire class at once.
  • Layout Options: Vouchers will print in either Bank Mode (3-part slip) or Online Mode (single page with QR code) based on your settings.

Step 22: Finance & Payroll Management

Track your school's overall budget and expenses.

  • Financial Overview: View your net profit or loss for any selected month.
  • Staff Payroll: Process monthly salaries for your employees and print payslips.
  • Manage Expenses: Record daily school expenditures like electricity bills or maintenance costs.
  • Export Data: Download your financial records as a spreadsheet.

Step 23: Teacher Portal Guide

Teachers have their own login to manage their classrooms.

  • Dashboard: View daily timetables and assigned classes.
  • Attendance: Class In-Charges can mark the daily attendance for their students.
  • Class Diary & Syllabus: Post homework, assignments, and term syllabi for students to view.
  • Question Papers: Create, format, and print exam papers.
  • Gradebook: Enter exam marks for assigned subjects.

Step 24: Student & Parent Portal

Students and parents can log in to stay updated on school progress.

  • Linking Accounts: Link the account by entering the student's Roll Number and Date of Birth.
  • Dashboard: View attendance records, pending fee dues, and recent exam grades.
  • Academic Records: Check detailed exam results, upcoming date sheets, and the class diary.
  • Teacher Feedback: View a list of teachers and submit a rating based on the learning experience.
